What is the procedure for a client going live?

1.  The basecamp project before being archived should reference the live url in the title.  For example:

 

Autofficial-03/05/2012 - http://iridiumautoparts.sophio.com/welcome.wws

 

Would become

 

Autofficial - 03/05/2012 - http://iridiumautoparts.com/welcome.wws

 

Note:  make sure the url you have in the title actually works.  I often see typo's in the name.  Notice how I have a space between each dash, this makes it easy to copy and paste.

 

2.  The client will have in his store settings the proper contactpk which comes from WHMCS.

 

3.  In WHMCS the client will have the following values.

 

A.  company name should be his business name and primary site name.  For example we have autoficial as the current company name.  it should be:  Autooficial – iridiumparts.com (this way a search by site or company name will find him)

 

B.  Contact name is the person we dealt with in the project, not someone who quit or got fired a year ago (I see this on 50% of our clients)

 

C.  email address to the PERSON that is the contact.

 

D.  phone number to the PERSON that is the contact.

 

E.  the SURVEY information is completed that you see on the profile page (business type, management system, client group, catalog, salesrep, buying group if any).  This should be reviewed again during the go live call.

 

F.  Any notes that benefit our staff.  For example a different master password because client self hosts.

 

G.  The products and services tab should reflect exactly what client has setup.  Each site, each domain must be listed here and the status should be accurate.  Active if live, pending if not.

 

H.  If client pays WHI for their site and not us the billing cycle can be set to FREE.

 

I.  If client is a WHI customer we need the WHI SO# number that started the project in the SO # field.  This is the number that gets us PAID by whi.

 

J.  If client has several contacts who will submit support tickets they must be setup as an additional contact.  Make sure you check the correct boxes for what that contact can or cannot do.  This should be done by Jack during the implementation call.

 

3.  The store has a tag in the advset field called <welcomeaccepted> and it has the ip address and time and date of when customer 'went live'.  This is not to be created by You but by the person who is the contact in whmcs.
